Job Title: Office Manager/Design Assistant
Reports to: Junior Designer and MAS Design principals
Employment Status: Part Time, Non-Exempt/hourly
General Position Summary:
Under general direction, performs a wide variety of highly responsible, professional-level
duties in the development, management, and coordination of back-of-house operations,
client projects, and internal protocol.
Essential Duties/Major Responsibilities include but are not limited to:
• Provides professional assistance to administrative staff.
• Weekly maintenance of Studio Webware (database and bookkeeping software)
including but not limited to: Writing proposals, maintaining contact list, recording
time billing, etc.
• Purchasing of specified materials, products, and services.
• Vendor and client communication.
• Ownership of expediting process.
• Ownership of keeping accurate and updated budgets & balances for clients.
• Ownership of income forecasting.
• Ownership of managing client invoices.
• Receiving and recording of client payments.
• New client contracts.
• Photo shoot management for installation including styling and onsite support.
• Ownership of office organization, cleanliness, office supply ordering, and delivering mail
to appropriate parties within MAS Design office. Manage and maintain materials library
and storage spaces.
• Ownership of keeping an accurate and updated bill schedule and communicating with the
bookkeeper regarding operating account and client account transactions.
• Answer phones and e-mails when in office with appropriate greeting and professional
phone etiquette.
Skills:
• Highly organized.
• Professional and respectful communication with vendors and clients.
• Knowledge of Studio Webware preferred, not required.
• High level of computer competence. PC use: Microsoft office required. Adobe suite
preferred.
• Attention to detail. Ability to follow through.
• Ability to multi task in fast paced/shared office.
• Ability to thrive under pressure with positive attitude.
• Ability to work well in a group and independently.
• Ability to take independent ownership on certain tasks.
• Comfortable working in/recording in a time billing format.
• Light bookkeeping/income forecasting a must. Candidate will take full ownership of
these duties and will be held accountable for them.
• Ability to be flexible during project deadlines and to perform well under pressure (night
and weekend hours not common but happen occasionally around deadlines).
• Interest in interior design not required but a respect for our work and our clients and
vendors a must.
